Real estate AI solutions for property operators

Most operators already have useful signals in CRM records, work orders, project files and lease data. We identify the two or three uses worth testing, then build only what earns its place.

The challenges we see

Four patterns come up in almost every one of the property operators we work with. If one sounds familiar, that is usually where to start.

Lead response is split across portals

Symptom

Enquiries arrive through portals, email and web forms, while availability and next steps sit in different places.

Maintenance signals stay buried

Symptom

Work orders, asset histories and meter data live in separate systems, so teams see patterns after a breakdown or complaint.

Refurbishment drift appears late

Symptom

Budget changes, invoices and programme updates are reviewed in separate reports, making variance hard to spot before month-end.

Underwriting starts from blank spreadsheets

Symptom

Rent rolls, offering documents and assumptions are copied by hand, leaving analysts less time for sensitivity checks and committee questions.

Practical AI uses

Four uses we would consider first. Each one runs on data most teams already have.

Use case 01

Lead triage and tour booking

What it does
Acknowledges new enquiries, answers approved property questions, checks basic fit and offers tour slots. Exceptions go to an agent.
Data it needs
Listing and availability details, approved answers, enquiry history and agent calendars.
Time to first value
4–8 weeks

Use case 02

Equipment risk watch

What it does
Combines work orders, asset history and meter data to flag repeat faults, missing preventive work and unusual consumption for review.
Data it needs
Work-order history, asset register, meter data and maintenance schedules.
Time to first value
8–12 weeks

Use case 03

Refurbishment cost and schedule watch

What it does
Pulls budget changes, invoices and programme updates into one weekly view and flags variance for project review.
Data it needs
Project budgets, commitments, invoices, programme dates and change orders.
Time to first value
8–12 weeks

Use case 04

First-pass deal model

What it does
Extracts key terms from offering documents and rent rolls into your underwriting template, then shows assumptions for analyst review.
Data it needs
Offering documents, rent rolls, lease abstracts and your underwriting template.
Time to first value
6–10 weeks

How we implement

Four steps, with a decision point after each. You can stop after any of them and keep what was built.

  1. 01 · 2–3 weeks

    Diagnose

Review leasing, maintenance, project and underwriting workflows with the people who own the numbers.

You get: a ranked shortlist with expected value, baseline, data gaps and decision owner

  2. 02 · 6–10 weeks

    Pilot

One building, property type or repeatable workflow, measured against a baseline agreed before build.

You get: a working pilot, measurement readout and go / no-go recommendation

  3. 03 · 4–8 weeks

    Integrate

Connect approved workflows to CRM, work-order, document and lease systems; set permissions, review steps and escalation.

You get: a production system with an operating guide and named owners

  4. 04 · Ongoing

    Scale

Extend to more buildings and teams after the first use case clears its target; monitor quality, exceptions and cost.

You get: a rollout playbook, governance checks and handover plan

Expected outcomes

These are estimates, not client results. We confirm or revise each one against your own baseline during the diagnosis.

Estimate 15–30%1 estimated faster first reply to a new lead
Estimate 5–10%2 estimated fewer emergency repair calls
Estimate 1–3 days3 estimated saved per first-pass deal model
Estimate 9–18 mo4 estimated payback on a first use case
  1. Assumes the pilot connects the agreed enquiry channels, has an approved answer set and measures median first-reply time against a baseline.
  2. Assumes 12 months of tagged work orders, identifiable equipment and a stable maintenance process; measures only the monitored assets.
  3. Assumes digital offering documents, a repeatable underwriting template and analyst time logged for comparable deals.
  4. Assumes pilot and integration cost is known and payback uses measured time or income impact from the selected workflow, not unmeasured benefits.

Questions owners, portfolio managers and property managers ask

Something else on your mind? Ask us directly.

What data do we need for a first pilot?

A focused slice is enough: enquiry and listing data for leasing, work orders and asset records for maintenance, project controls for refurbishment, or rent rolls and offering documents for underwriting.

Can we start without replacing our current systems?

Usually. We scope the pilot around a controlled export or read-only connection where possible. Broader integration comes after the use case has shown enough value to justify it.

Who owns the models and the data?

You do. Models, code and data stay in your environment or your cloud account. We don't reuse your data to train anything for other clients.

Who reviews the output before it affects a tenant, project or deal?

A named person on your team reviews outputs during the pilot. We define approval thresholds, record key assumptions and route uncertain cases to the right owner.

What if the pilot misses its target?

We agree the target and baseline before we start. If the pilot falls short, you get a written explanation of why, and you are not committed to the next phase.
